11.02.2022 CEC MinutesISPER OWN OF Prosper is a place where everyone matters. Call to Order/Roll Call Minutes Community Engagement Committee Prosper Town Hall — Executive Conference Room 250 W. First Street, Prosper, Texas Wednesday, November 2, 2022 This meeting was called to order at 6:03 p.m. Committee Members Present: Christine Strobush, Chair Brent Kirby, Vice -Chair Kristin Meier Chris Wardlaw Gretchen Darby Kari Willis Britt Beene Josh Carson Grant Mendelian Trovette Tottress (arrived at 6:28 p.m.) Committee Members Absent: Maona Ngwira Councilmembers Present: Councilmember Jeff Hodges Councilmember Marcus Ray Councilmembers Absent: Councilmember Amy Bartley Staff Members Present: Robyn Battle, Executive Director of Community Services 2. Approve Minutes from October 12, 2022 (CS) [Decide] Kristin Meier made a motion and Chris Wardlaw seconded the motion to approve the minutes from October 12, 2022. The motion was approved unanimously. 3. CEC Orientation for New Members (CS) [Discuss] Christine Strobush reviewed the CEC Ambassador presentation from the May 5, 2021 CEC Meeting to provide an overview of the CEC's vision of their role as a conduit between Town residents and the Town Council. The Committee's Page 1 of 3 mission statement, to "Listen, Understand, Engage," summarizes the purpose and vision for the Committee. The CEC has served as a "think tank" to find ways to get residents more involved and to come up with creative ideas to keep Prosper's small town feel. Members are expected to connect with the community, help facilitate communication, serve as advocates for the community, and correct misinformation when needed. As CEC members learn more about the Town, they can be better advocates. 4. Subcommittee Updates: • Survey Subcommittee (CW) [Discuss] The Survey Subcommittee has not met yet; however, they plan to develop a survey for two groups: the CEC members and residents. The subcommittee will work on capturing feedback in a way that is simple and efficient. One suggestion was to assign the top three objectives for each event and then ask participants to rank how well each one performed. Kari Willis joined the Survey Subcommittee. Prosper Passport Subcommittee (BK) [Discuss] Brent Kirby reviewed the Prosper Passport framework that was provided in the agenda packet. The purpose of the program is to provide an incentive for residents to visit places and participate in activities that are quintessentially "Prosper." The Committee discussed whether the passport would be paper or digital, and different strategies for incentivizing participation. The Committee's consensus was to roll out the Prosper Passport program in conjunction with the spring 2023 New Resident Mixer. The subcommittee will continue to work on details and bring back this item for discussion at a future meeting. 5. Feedback on Special Events (CS) [Discuss]: • Discover Downtown Series The Committee members agreed that it is generally too hot to hold outdoor events during the summer. Gary P. Nunn has a strong following, but there may be other artists who would draw a different audience. • Celebrate Prosper/BBQ & Blues No feedback • New Resident Mixer This item was covered last month 6. Review Work Plan/Activity Schedule (CS) [Discuss/Decide] The Committee reviewed the updated work plan and activity schedule with an emphasis on the next quarter. 7. Measuring Success (CS) [Discuss/Decide] This item will be discussed further at the next meeting. 8. Mobile App Enhancements (CS) [Discuss] This item will be discussed at a future meeting.
