06.02.21 CEC Minutes Minutes Community Engagement Committee TOWN O F Via Zoom SSPERWednesday, June 2, 2021 Prosper is a place where everyone matters. 1. Call to Order/Roll Call. The meeting was called to order at 6:00 p.m. Committee Members Present: Sekou Harris, Chair Rodolfo Sierra, Vice-Chair Brent Kirby Damon Jackson Shy Tottress Christine Strobush Kim Loveland Grant Mendeljian Josh Carson Committee Members Absent: D'Oyle Clark Maona Ngwira Councilmembers Present Councilmember Marcus Ray Councilmember Amy Bartley Councilmembers Absent Councilmember Jeff Hodges Staff Members Present: Robyn Battle, Executive Director of Community Services Haley Alsabrook, Community Engagement Specialist Leslie Scott, Director of Library Services 2. Consider and act upon the May 5, 2021 Meeting Minutes (RB) Christine Strobush made a motion and Damon Jackson seconded the motion to approve the May 5, 2021 minutes. The motion was approved by a vote of 9-0. 3. Summer Reading Program (Leslie Scott, Library Director) Leslie Scott provided an overview of the Prosper Community Library's Summer Reading Program. This year's theme is "Destination: 7-Continent Exploration." Library staff will hold programs all summer to explore the literature, art, music, languages, geography, Page 1 of 3 and culture of people living on all seven continents. Registration is exceeding expectations this year, with 270 children signing up within the first two days. The Library will hold an Independence Day Parade on July 1 on the Town Hall grounds. Ms. Scott shared the latest Library brochure that lists all programs and activities. The CEC can help the Library by promoting programs and activities and sharing information with neighbors and through social media. Members may contact Leslie Scott, Robyn Battle, or members of the Library Board if they have recommendations or suggestions for programs and activities that may be of interest to the community. 4. YouTube Video Discussion Christine Strobush presented information about a proposed video to introduce the CEC and the Ambassador program to the community. Robyn Battle recommended using a videographer the Town has used for other video projects. A subcommittee comprised of Christine Strobush, Sekou Harris, Rodolfo Sierra, Damon Jackson, Brent Kirby, and Kim Loveland agreed to discuss the details of the video in a separate meeting next week. 5. Citizens Academy (RB) Robyn Battle updated the Committee on the upcoming Citizens Academy, which will take place this fall. The ten-week program will provide participants with an interactive, informative, comprehensive look at Town operations. Registration for the program will open in July, and CEC members are welcome to participate. 6. 2021 Event Calendar(Shy Tottress) Shy Tottress proposed an online shared event calendar for the CEC to keep track of community events. The Committee discussed ways to share information about community events with residents. 7. QR Handout(Kimberly Loveland) Kimberly Loveland discussed various promotional items that can be handed out at the BBQ and Blues event in September, where the CEC will have a booth. The Committee discussed a handout with QR codes that would link residents to information about the CEC and the Town. The Committee expressed an interest in creating a logo that can be use in the video, and on promotional items and t-shirts. The Town's Communications staff will work on draft logos for review. 8. Procedures for Motions and Votes (RB) Robyn Battle shared information with the CEO members that all Town Boards and Commissions have been asked to modify their procedures for taking votes by calling for a show of hands, rather than a voice vote, to make it easier for viewers who are participating virtually to observe how individual members are voting. 9. Events Recap Discussion The Committee discussed participation in recent Town events, including the May HOA Presidents Meeting and the Hot Dogs and Hot Rods event. Page 2 of 3 10. Consider and act upon the appointment of a Chair and Vice-Chair of the Community Engagement Committee (SH) Sekou Harris has been appointed to the Planning and Zoning Commission and is stepping down as Chair of the CEC. He asked the Committee to consider nominations for a new CEC Chair. After discussion, Shy Tottress made a motion and Christine Strobush seconded the motion to appoint Rodolfo Sierra as Chair of the Community Engagement Committee. The motion was approved by a vote of 9-0. Rodolfo Sierra made a motion and Brent Kirby seconded the motion to appoint Christine Strobush as Vice-Chair of the Community Engagement Committee. The motion was approved by a vote of 9-0. 11. Discuss Future Agenda Items • Inventory of community organizations by Brent Kirby • Information on the Town's broadband service improvement efforts 12.
